IMPORTANT NOTE: The fields in this page may be different in your environment, because they depend on the client's configuration. Please speak to your system administrator and / or submit a support request at Zendesk if you would like to configure your contract meta-data fields.
However, there are a few fields which are considered standard and are further explained below, especially because they have specific functionality.
Supplier(s): check from the multi-select checkbox list the supplier(s) that is party to a contract. There might be contracts that more that one supplier is involved and therefore users can select more than one suppliers, if needed.
Contract name: a name for the contract to allow for easy searching (e.g. Framework Agreement for Hardware).
Contract key: a unique number that is automatically generated by system.
Parent Contract Key: the unique number of the parent contract, if any.
Business Unit: the customer legal entity that is party to a contract and / or the business unit which is relevant to the provision of products and services.
Contract Description: A description of the type of contract and the products or services purchased or sold, the purpose of the contract.
Supplier Contracting Entities: the legal entity with which the contract is signed (please refer to the Contracting Entities section).
Other Contracting Entity: any additional legal entity that is party to a contract.
Status: if the contract is draft / live /expired. (This field is not automatically changed from live to expired. The change must be done manually). Please note that contract reminders will only be triggered only for live contracts.
Notes: free text comments / remarks necessary for the contract.
Contract Type: the type of the contract e.g. Standalone, Confidentiality, Framework Agreement.
Category: the category of spend that the the contract is related to (e.g. IT, HR, Marketing).
Contract Document: attachment of the contract file (PDF only).
Contract Owner: the person responsible for managing the contract throughout its lifecycle. Please note that the Homepage > My Contracts page will only display the contracts that the logged-in user is assigned to as contract owner.
Contract Value: the total value stated on the contract.
Annual Value: the value of the contract divided by year.
Currency: the currency that applies to the contract.
Start Date: the date on which a contract becomes active.
End Date: the date on which a contract expires. Please note that the end date defines the RAG status of a contract and the relevant contract reminders. Please refer to the 'Understanding the contract reminders' article for more information.
Notice Period (days): The period before the end of the initial term or subsequent terms during which the parties are entitled to cancel / terminate or renew the contract (in days).
Contract Review Date: the date that the review of the contract should start. Please note that the end date defines the RAG status of a contract and the relevant contract reminders. please refer to the 'Understanding the contract reminders' article for more information.
Alert Users: the list of users to whom contract alerts should be sent. Please refer to the 'Understanding the contract reminders' article for more information.
Is Private: this field is only available to system administrators and users with the highest permissions at the contracts module.
